Keeping an IT budget under control has become harder for UK businesses this year, with wage costs, software licences and cybersecurity requirements all climbing at the same time. What used to be a fairly predictable line in the annual budget now competes with a much longer list of costs that all seem to be rising together.

Salford businesses are feeling this from several directions at once, and the pressure is not limited to big enterprise IT teams with dedicated budgets to reshuffle. Smaller outfits are having to make sharper choices about where money goes, from staff laptops and phones through to the software subscriptions running quietly in the background, and this year’s decisions look noticeably different from the ones made two or three years ago.

Making Existing Hardware Last Longer

A five-year-old laptop with a cracked hinge or a phone with a fading battery does not automatically need replacing, even though a full refresh is often the easiest box to tick when a budget review comes round. Pocket Geek Tech Repair has seen a marked rise in enquiries from finance teams weighing up corporate phone and laptop repair instead of replacing devices on a fixed three-year cycle. A repair that extends a device’s working life by another year typically costs a fraction of a full replacement, with no noticeable drop in performance for everyday office tasks such as email, video calls and shared documents.

Payroll Costs Are Already Eating Into What’s Left For Tech

Employer National Insurance rose from 13.8% to 15% last year, and the earnings threshold at which it applies dropped from £9,100 to £5,000, so businesses now pay more per employee and start paying sooner in the year. Combined with minimum wage increases, one widely cited analysis put a jump of over two thousand pounds on the cost of employing a single minimum wage worker. For a business with twenty or thirty staff, that leaves noticeably less room for everything else, tech included.

Software And Subscription Costs Keep Adding Up

Microsoft 365 is a clear example of costs creeping upward without much warning, since most businesses barely notice a subscription renewal until the invoice looks different. That is exactly what is happening now, with a round of price increases across several subscription tiers landing this year, hitting some of the smaller business plans that a lot of Salford companies rely on for email and office software. Add that to the other costs competing for the same shrinking pot, and it becomes clear why finance teams are prioritising more carefully:

  • Cybersecurity tools and compliance certification adding new recurring costs
  • Cloud storage and backup fees creeping up as data volumes grow
  • Support contracts and staff training renewing at higher rates than last year
  • Admin and payroll software absorbing a share of the same wage-driven cost rises

None of these pressures are going away on their own, which is why more businesses are looking closely at where money is genuinely needed. Repairing rather than replacing, dropping subscriptions nobody uses anymore, and planning payroll rises into the tech budget rather than treating them separately are small changes that add up to a real difference by the end of the year.
